What does event transportation from Onroutz.ca include?
Event transportation covers every vehicle movement around a date: airport arrivals, hotel-to-venue runs, shuttle loops, red-carpet drop-offs and late departures. The Toronto desk plans the timeline, assigns the right vehicle class, tracks flights and invoices the whole programme on one account.
Events fail on timing, not on vehicles. A conference opens at 8:30, speakers land at 6:10, the hotel is across the city, and the road to the venue closes for a parade. Our job is to build the schedule backwards from the moment a guest must be at the door, then choose cars, drivers and buffers that make that moment realistic.
This hub lists every event page on the site. Pick the page that matches your event, or use the booker if you already have addresses and times.
Events by type
| Event type | Page | Typical vehicles |
|---|---|---|
| Weddings | Weddings | Sedans for the couple, SUVs and Sprinters for family |
| Guest shuttles | Wedding guest shuttles | Sprinters and coaches on a loop |
| Corporate events | Corporate events | Sedans for executives, Sprinters for teams |
| Trade shows | Trade show transportation | Mixed fleet, hotel-to-hall loops |
| Roadshows | Roadshows | Multi-city, multi-leg itineraries |
| Festivals and sport | The event pages below | Sedans and SUVs, timed to arrival windows |
Vehicle classes are confirmed at booking as "or similar". An Executive Sedan or First Class Sedan carries up to three passengers, a Luxury SUV up to six, and an Executive Sprinter up to twelve. Mini-coaches and coaches of 20 to 56 seats are arranged on request. The fleet page has the detail.
Festivals, sport and race weekends
Big public events add a layer that private bookings do not face: closed streets, drop-off zones that move, and security checks that stretch arrival times. We plan with those in mind and tell you where the car can actually stop.
- TIFF Toronto. The Toronto International Film Festival is held every September; the 2026 edition has finished. Red-carpet evenings concentrate traffic around King Street West and the downtown core, so premieres need earlier pickups and a fixed drop-off plan.
- Canadian Grand Prix, Montréal. The 2026 race weekend took place on 22 to 24 May, according to the Formula 1 calendar. The next date is published by the series, so check the calendar before you build travel around it.
- Singapore Grand Prix. The 2026 race weekend runs 9 to 11 October, which is this weekend.
- Abu Dhabi Grand Prix. The season finale at Yas Marina is on 4 to 6 December 2026, per the same calendar. Hotel-to-circuit runs are the pressure point, so book the return leg with the arrival.
We list only dates we could confirm on the organizer or series site, and describe the rest as "held each year" until the next date is published.
Conferences, conventions and trade shows
Trade shows are a logistics puzzle for a different reason: thousands of people want the same kerb at 8:00 and 17:30. The answer is to spread arrivals, use more than one drop-off point where the venue allows, and keep a shuttle loop between the main hotels and the hall.
- Toronto Convention Centre. The venue calls itself the Metro Toronto Convention Centre and advertises a direct air-rail link to Pearson (mtccc.com). In practice that means the UP Express to Union Station, which the operator says takes 28 minutes (upexpress.com).
- CES, Las Vegas. The next show is listed as 6 to 9 January 2027 in Las Vegas on ces.tech. Show week is busy at the airport and on the Strip, so build extra time into every pickup.
- Canton Fair, Guangzhou. The organizer publishes the schedule on cantonfair.org.cn. Airport pickups and hotel-to-hall runs are the two main needs.
For exhibitors there is a separate planning page, trade show transportation, and for touring teams the roadshow page covers city-to-city sequences on a single booking.
Weddings
A wedding has fewer cars than a conference and less room for error. The couple's car must be at the church or venue on a published minute, the families arrive in waves, and the photographer needs the route cleared before the cars leave.
The weddings page covers the couple's transport and the family cars. The wedding guest shuttles page covers loops from the hotel to the ceremony and on to the reception, using Sprinters or coaches. For a wedding where guests fly in, the desk can link the airport pickups to the same booking.
Corporate events and VIP programmes
Corporate events range from a board dinner for six to a product launch with hundreds of attendees. The approach is the same: define the key moments, assign vehicles to people rather than to hours, and keep one contact on the day.
Talent, executives and guests who want privacy are covered in the celebrity and talent transport page and the VIP transportation page. What happens in the car stays there: no client photos, no social posts, and an NDA if you want one. Onroutz.ca is a transport service, not a security company: there are no armed drivers or bodyguards, and we work alongside a client's own security team.
How a large programme is planned
A good event plan uses the same few steps every time.
- Collect the manifest. Names, flight numbers, hotels, arrival dates and any accessibility or child-seat needs.
- Mark the fixed times. Opening, keynote, dinner, curtain, departure.
- Work backwards. Subtract the drive time, the rush-hour or closure allowance, and the buffer for the car to reach the door.
- Assign vehicles. Executives in sedans, small teams in SUVs, groups in Sprinters, delegations in coaches.
- Track the day. Flight tracking runs on every airport pickup, and the 24/7 desk reroutes cars when plans change.
- Invoice once. Corporate accounts can use monthly invoicing, with multi-leg itineraries on one booking.
Name-board meet and greet inside arrivals is available on request, and the meet and greet hub explains how it works. For hotel logistics, the hotel transfers hub shows how we handle arrivals across a group of hotels.

Dates move, and venues rename themselves more often than you might expect. The pages above carry the venue's current name. If a date is not in the table, we have not confirmed it.
Before you book event transport
- Send the guest list and hotel names as early as you can; arrivals are the hardest part to rebalance.
- Tell us about road closures you already know about; the desk checks the rest.
- Ask about a separate meeting point if the front entrance is restricted.
- Confirm whether your event has its own cancellation deadline. Big events may carry a different one, printed on the confirmation.
Frequently asked questions
How much does event transportation cost?
The booker shows the fixed all-in fare for your exact pickup, drop-off and vehicle before you pay. For a programme with many vehicles and legs, the desk quotes the whole schedule. We do not publish a rate list for events, because group size, timing and route change every number.
How far ahead should I book event transport?
As early as the guest list allows. Large events fill the vehicles that matter most, such as Sprinters and coaches, and hotel areas become hard to reach on the main day. Booking early also leaves time to align flights, hotels and the order of arrivals.
Can you run a shuttle loop between hotels and a venue?
Yes. Sprinters carry up to 12 passengers, and mini-coaches and coaches of 20 to 56 seats are available on request. The desk builds the loop around the venue's start and end times, with a buffer for closures. See the trade show page for typical patterns.
What is the cancellation policy for events?
The standard policy is no charge with more than 72 hours' notice, 10% at 72 hours or less, 50% at 48 hours or less, and 100% at 24 hours or less or for a no-show, counted from the scheduled pickup. Event bookings can carry their own deadline, always printed on the confirmation.
Do you provide transport outside Toronto?
Yes. In Toronto, the GTA and southern Ontario the Onroutz.ca fleet drives. Everywhere else a vetted, licensed and commercially insured local partner drives, and the Toronto desk books, confirms, supports and invoices the trip. See destinations for the full list.
Can we use alias names for guests?
Yes. Name-board meet and greet is available on request, and an alias name can appear on the board for privacy. Chauffeurs never photograph clients or post about trips, and will sign an NDA on request.
Do you provide child seats for family events?
Child seats are on request: say at booking whether you need an infant, toddler or booster seat. Include the age and weight of each child so the right seat is in the right car. Water and phone charging are available in most vehicles.
Can I add a wedding or event to an existing booking?
Yes, if the event is for the same traveller or group. Multi-leg itineraries can sit on one booking, so airport, hotel and venue legs share a single confirmation. Speak to the travel desk when you need to change an existing plan.
