What is a hotel transfer from the airport?
A hotel transfer is a private car from the airport to your hotel, booked in advance. The driver tracks your flight, meets you after landing, and takes you to the hotel entrance. The fare is fixed and shown in the booker before you pay, so there is no meter and no queue.
Most hotel transfer searches are really questions about the last hour of a long trip. You have landed, cleared immigration and collected your bags, and you want to reach the hotel without guessing which exit, which queue and which fare.
This hub lists the hotel areas that have their own page. Each page names the airport, the roads, the hotel zones and the points at which the answer changes. If your hotel is not on the list, the booker accepts any address.
Hotel areas with their own page
| Hotel area | Airport | What shapes the trip |
|---|---|---|
| Toronto downtown | Toronto Pearson, Billy Bishop | The UP Express runs to Union Station |
| Las Vegas Strip | Harry Reid (Terminals 1 and 3) | Connector tunnel repaving through December 2026 |
| Miami Beach | Miami International | The bay crossing and cruise-day traffic |
| Orlando resorts | Orlando International | Resort gates and theme-park hours |
| Cancún hotel zone | Cancún airport | Hotel-zone road and check-in times |
| Punta Cana resorts | Punta Cana airport | Distance to each resort gate |
| Athens | Athens airport | Central hotels or the coast |
| Rome | Fiumicino | Taxi zones and restricted traffic areas |
| Dubai | Dubai International | Terminal choice and hotel zone |
Resort-style arrivals in the Caribbean and Mexico also live under the resort transfers hub, where the page is organised around the destination rather than the hotel zone.
How the options compare at hotel gateways
The right answer depends on where your hotel is, how much luggage you carry and how many travellers share the ride. This table sets out the usual modes. Times are door to door and vary by airport.
| Mode | Door-to-door time | Cost note | Luggage | Best for |
|---|---|---|---|---|
| Airport rail link | Often the fastest to a central hotel | Published fare | Platform steps, gaps and transfers | One or two travellers, hotel beside a station |
| Metered or fixed-fare taxi | Depends on traffic and queue | Metered, or fixed by the city | Boot space varies | Travellers with no booking |
| Hotel or airport shuttle | Includes waiting and stops | Often free or charged by the hotel | Limited | Hotels with their own shuttle |
| Shared van | Longer, with multiple drop-offs | Per-seat price | Limited | Solo travellers who accept stops |
| Private hotel transfer | Direct, no stops | Fixed fare via booker | Sized to your party | 3 or more travellers, heavy luggage, children, late arrivals |
Public figures help here. At Fiumicino the municipality sets a taxi fixed fare of €55 from the airport to the centre inside the Aurelian Walls, supplements included, according to Aeroporti di Roma. In Toronto, the UP Express reaches Union Station in 28 minutes (upexpress.com). We include these as "as of 2026" because operators change them.
When the train or the fixed-fare taxi is the better answer for you, take it. A hotel transfer earns its place when the trip is awkward: several people, many bags, a late arrival, a hotel away from the rail line, or a first visit to a city where you would rather not negotiate.
What the driver needs from you
Give the booker four things and the rest is automatic.
- The exact hotel name and address. Many cities have two hotels with similar names, and the wrong one costs time.
- Your flight number. Flight tracking runs on every airport pickup.
- The number of travellers and bags. This selects the right vehicle class.
- Any special needs. Child, toddler or booster seats, a name board, accessibility requirements.
Vehicles are "or similar". An Executive Sedan or First Class Sedan carries up to three passengers, a Luxury SUV up to six with five or six large bags, and an Executive Sprinter up to twelve. See the fleet page for the details.
Waiting time and flight delays
Late flights are normal, and the driver is already watching yours. After an international landing the first 60 minutes of waiting are free, and after a domestic landing the first 30. On pickups that are not at an airport, the free wait is 15 minutes.
Name-board meet and greet inside arrivals can be added at booking, and an alias name can go on the board for privacy. For terminals where the exit routes are complicated, the meet and greet hub explains where drivers stand and how to find them.
Hotel-to-hotel and onward transfers
A hotel transfer does not end at check-in. Travellers who change hotels mid-trip, visit a conference, or head out for a day trip can book the next leg on the same itinerary. Multi-leg bookings share one confirmation.
For example, a visitor to Las Vegas might land at Harry Reid, stay on the Strip for CES, and move to a second hotel for the weekend. The same booking can show all three legs. Harry Reid has Terminals 1 and 3, and the airport warns of lane closures in its connector tunnels through December 2026, so allow extra time (harryreidairport.com). See the CES Las Vegas page for show-week timing, and the Las Vegas airport to the Strip route for the airport run.
Conference travellers can also read the guide to corporate meetings, hotels and resorts, which covers moving groups between airports, hotels and meeting venues.
Planning a hotel arrival abroad
Abroad, the Toronto desk books the ride and a vetted, licensed and commercially insured local partner drives it. The vehicle is no more than four model years old, and up to seven for Rolls-Royce, Bentley and Maybach. You get one confirmation and one invoice from the desk in Toronto.
Terminal choice matters in big airports. At Dubai International the terminal depends on your airline, and sources disagree about which terminal some carriers use, so confirm yours on the booking before you leave. The Dubai airport official site also lists the Al Majlis VIP service, which some travellers add to a transfer.
Before you travel, check the entry rules for your destination. The destinations hub summarises the main ones and links the official sources.
Choosing between regions
Hotel transfers are built the same way everywhere, but the geography is different. Use the regional hubs when your trip spans more than one city.
- Toronto and the GTA for the home market, driven by our own fleet.
- USA for Las Vegas, Miami and Orlando, plus airport and cruise pages.
- Caribbean and Mexico for resort arrivals.
- Europe for Rome, Athens and the continental airports.
- Middle East for Dubai and Abu Dhabi.
Frequently asked questions
How do I get from the airport to my hotel?
Take the rail link if your hotel is beside a station and you travel light. Otherwise use a taxi, a shuttle or a booked private transfer. A private hotel transfer is waiting for you after landing, and the fixed fare is shown in the booker before you pay.
How can I book hotel transfers in Dubai?
Enter your flight, the hotel and the number of travellers in the booker. The Dubai hotel transfers page explains the terminals and hotel zones. A local partner drives, and the Toronto desk confirms the booking and stays reachable 24/7.
How do I get from one hotel to another in Las Vegas?
Book the hotel-to-hotel leg in the booker, using the pickup hotel and the drop-off hotel. If you also need the airport legs, put them on the same itinerary. The Las Vegas Strip page lists the roads and timing to expect.
What is the best way to transfer from Cancún airport to my hotel?
For most visitors with luggage, a booked private transfer to the hotel door is the most direct. Hotel-zone arrivals have their own page at Cancún hotel zone, and Playa del Carmen and Tulum trips have route pages.
Are airport transfers cheaper than taxis?
Not always. Metered taxis, where the city sets the tariff, can cost less for a short trip with one passenger. For groups, the cost per person can drop in a larger vehicle. We never claim to be the cheapest. We quote a fixed fare before you book so you can compare.
Will my driver wait if my flight is late?
Yes. Flights are tracked, and the free waiting time after landing is 60 minutes for international arrivals and 30 for domestic ones. For other pickups it is 15 minutes. If your delay is longer, the desk adjusts the plan and tells you what applies.
Can I change my hotel after booking?
Yes, if you tell the desk before the scheduled pickup. Changes inside the cancellation window may carry charges: 72 hours or less 10%, 48 hours or less 50%, 24 hours or less or a no-show 100%, counted from the pickup time. More than 72 hours' notice has no charge.
Do you offer child seats?
Seats for babies, toddlers and older children are provided when requested at booking. Add the age and weight of each child so the right seat is in the car. Water and phone charging are available in most vehicles.
Where can I see all airport pages?
The airport transfers hub lists every airport, and the transfers hub lists route pages between airports and destinations. The FAQ page answers the most common booking questions.
